Start At Layer One Today

Each layer takes you further. Work your way to Layer Four and your inbox is handled before you wake up.

Layer 1 Copy And Paste
SETUP: None. Works right now on your phone.
Copy the email. Paste it into Claude. Ask.
  • "What's the ask here and what's my decision?"
  • "Draft a reply that says yes but pushes the timeline to March"
  • "Decline this and keep the relationship warm"
  • "Summarize this thread and tell me where things stand"
Screenshots work too. Take a photo of the thread, drop it in, ask your question.
The Outcome: Long emails become one line and a decision.
The Move: Paste and ask.

Layer 2 Connected
SETUP: Turn on the email connector in Claude's settings. Gmail uses the Google Workspace connector. On Outlook, use Claude for Outlook. Ten minutes, one time.
Now Claude sees your actual inbox. No copying.

  • "What's in my inbox that I've been ignoring?"
  • "Find the thread where we discussed the term sheet numbers"
  • "Draft a reply to the last email from [name]"
  • "Who haven't I responded to this week?"

Drafts land in your drafts folder. You read, you send.

Layer 3 Personalized
SETUP: Create a Claude Project. Upload your business context and your voice document. Add your email rules.
This is where drafts stop sounding like a robot and start sounding like you. Claude knows the difference between an email about one company and another without being told. Give it your rules:
  • "Keep my emails short. Three sentences max unless I say otherwise."
  • "I never use exclamation points."
  • "Always end with a clear next step."
  • "If it's an intro request, my default is a warm decline unless I know both parties well."
Build your patterns. The five emails you send constantly: intros, warm declines, "let's find time," partnership pitches, product questions. Show Claude one real example of each. Save it in the Project. Now it's a one-liner forever.
The Outcome: Drafts you can send without editing.

Layer 4 Scheduled And Agentic
SETUP: Recurring tasks and browser automation.
Claude won't react to an arriving email. It will run on a clock. What to set up:
  • A recurring task that triages your inbox every morning and sends you the rundown before you're awake
  • A weekly sweep: who owes you a response and how long it's been
  • A Friday summary of every open thread that needs a decision
Claude in Chrome can operate Gmail or Outlook directly in the browser. It can label, archive, search, and work across tabs. Record a repetitive sequence once and have it replay. Always-on agents that trigger the moment mail arrives and hit send exist, but they're a separate tool layered on top of your inbox. Worth exploring once the first three layers are running.
