01 — The Three Job Types
Name It First

Every request breaks into one of these. Most people describe a FILL problem when they actually have a TRACK problem. The forms aren't hard. Nobody knows which ones are outstanding.

Fill
Information goes into a form. A PDF, a web portal, an application, a contract field.
Do
An action gets executed. Book it, submit it, update it, send it, order it.
Track
Something needs to be remembered, queued, and closed out. The list of what's open.
02 — The Diagnostic

The answers route the solution. Ask them before you build anything.

Each level goes further. Most clients get 80% of the value at Level 2.

Level 1Assisted
AI helps in the moment. No setup.
What it is: Drop the PDF or paste the form into Claude. It fills it. You review and submit.
Needed: A paid Claude plan. Nothing else.
Done when: The document comes back complete and correct on the first pass.
Use when: One-off documents. Testing whether AI can handle the format at all.
Level 2Context Loaded
The data lives somewhere. Forms become instant.
What it is: A Standard Info Vault sitting in a Claude Project. Every data point that appears on forms, in one place. Now filling anything is: drop the file, "use my standard info," done.
Needed: One document, built once. A Claude Project to hold it. 60 to 90 minutes to assemble.
Done when: A form the client has never seen gets filled correctly without anyone hunting for information.
Use when: Always. This is the universal unlock and the highest ROI move on this list.
Level 3Browser Execution
AI operates the web form.
What it is: Claude in Chrome reads the page, clicks, types, and fills forms, navigating multi-step flows the way you would. Demonstrate a task once, save it as a shortcut, and Claude repeats the pattern.
Needed: Paid plan, extension installed, per-site permission, someone at the keyboard.
Where it breaks: Chrome has to be open and running. It pauses for logins, CAPTCHAs, and payment. Prompt injection is live, so close sensitive tabs first. Never for banking.
Use when: Vendor portals, applications, recurring submissions.
Level 4Task System
The queue becomes the interface.
What it is: A task list AI can read and work. Tasks live in a system, AI pulls the queue, executes what it can, flags what it can't.
Needed: A task system with a connector or API. Notion, Todoist, Linear, Asana, or a shared spreadsheet all work. Clear rules on what AI can touch.
Done when: AI reads the open queue, completes the mechanical items, and returns a short list of what needs a human.
The trap: Do not build a second brain when a list will do. A shared spreadsheet with three columns beats an elaborate system nobody maintains.
Level 5Scheduled
It runs without being asked.
What it is: Recurring jobs on a clock. Morning briefings, weekly sweeps, monthly reports.
Needed: Levels 2 through 4 already working, a schedule, and somewhere the output lands.
Where it breaks: Timers fire, events do not. Nothing starts because something arrived. Browser tasks still need the browser present.
Use when: The pattern is proven and stable. Never automate something you haven't run manually ten times.
04 — The Honest Ceiling
What Doesn't Exist Yet

Say this out loud so nobody is disappointed later. No event triggers. No unattended browser work while the machine sleeps. No autonomous signing or payment. Nothing fully hands-off with real stakes.

The frame that lands: AI does the doing. You do the deciding.
Clients don't actually want autonomy. They want to stop typing. That's available today, completely.
05 — The One Build
The Standard Info Vault

The one build that pays off for every client regardless of setup. Filling the form was never the hard part. Finding the information was. Build this once and forms stop being a task.

What Goes In
  • Legal names, personal and every entity
  • EINs and tax IDs
  • Formation dates and states
  • Registered and mailing addresses
  • DOB and license numbers
  • Insurance carriers and policy numbers
  • Revenue ranges, employee counts, industry codes
  • Standard bio, headshot link, references
  • The answers to the twenty questions every form asks
What Stays Out
  • Social security numbers
  • Bank routing and account numbers
  • Passwords and security answers
