How to Prepare for Client Meetings With AI (So You Can Forget and Still Remember Everything)

Rob Cressy
TL;DR
  • To prepare for client meetings with AI, record every meeting, keep each client's transcripts in their own project, and let AI do the review before you walk in.
  • Upload the standard checklist you use with every client, then ask AI which items are answered and which are still outstanding.
  • Give every client a dedicated project in ChatGPT, Claude or Grok so the AI only reads that client's world.
  • Turn off model training on your data before you add anything sensitive. It takes one click.

If you want to prepare for client meetings with AI, the goal is simple: walk into every meeting already knowing what was said last time and what is still open, without rereading every note by hand. AI can do that review for you when every conversation is recorded, stored by client, and checked against the list you already use. Here is the exact setup I walk people through.

This came up live on a group advisory call I lead. One of the entrepreneurs on the call said they love almost everything about their business. The one thing they dread is preparing for meetings. Their process was handwritten notes during the meeting, an assistant typing those notes into the client file, and then rereading years of notes before every single meeting and cross-referencing it all against their planning checklist by hand. My answer started with one question about why I built a second brain in the first place.

How Do You Prepare for Client Meetings With AI?

Record the meeting, store the transcript with that client, and ask AI to brief you on what matters before the next one.

Here is the shift. Do you know why we create a second brain? So I can forget.

Once every conversation is captured and stored in the right place, remembering stops being your job. You have a process behind you that takes the work you have already done and puts it in front of you when you need it.

That is exactly how I run my own business. Every conversation I have recorded since May lives in my second brain in Notion. At any point I can say, "Pull up the transcripts of all of my conversations with this client," and it looks at just those. If you want to see how I built that, here is how I built an AI second brain in Notion.

How Do I Use a Checklist With AI Before a Client Meeting?

Give AI the checklist once, then have it compare every transcript against it and flag what is still open.

If you already run a standard list of things to cover with every client, that list is gold for AI.

Here is how I explained it on the call. Let's say your checklist has 20 boxes, every single time. With the transcripts saved, whether you intentionally asked those questions in the meeting or not, you can go through and say: "Based on these checklist questions, which ones did we answer? Which ones are outstanding?" And it will come back with something like, "You have a call with this client coming up. We still have three questions outstanding." You never have to remember it, because the process remembers for you.

The entrepreneur on the call put the workflow together on the spot: scan in the checklist, record the meetings, keep the notes with each client, and before the next meeting ask AI to cross-reference all of it and suggest what to talk about. My response was "A million percent."

How Do I Organize Client Information in ChatGPT or Claude?

Create one project per client. Each project is its own container.

This applies whether you use ChatGPT, Claude or Grok. They all have projects, and they all work the same way.

My rule of thumb: every chat lives inside a project, because a chat on its own has no container. When I am working on a client, that client gets a project. Every transcript goes in there. Every document goes in there. That gives the AI its own world for that one person, so when you ask a question it answers from the right context.

Inside each project you can keep a short profile of the client, their goals, their preferences, the checklist, and every transcript. The more of that world you put in, the better your prep gets. I go deeper on structure in how to organize a second brain for multiple clients.

Is It Safe to Prepare for Client Meetings With AI?

Turn off model training on your data first. It is one setting, and it takes one click.

Someone on the call asked about privacy: if I put proprietary client information in here, how does it stay private?

I showed it live. In Claude, the privacy settings let you stop it from training on your data. In ChatGPT, open settings and look for the toggle called "Improve the model for everyone." Uncheck it. As I said on the call, "I don't want them training on my data."

If you work under strict compliance rules, build within the limitation. Know what your rules allow, then design the process inside those lines. As I put it, "if you choose to let the limitation be your limitation, you won't use it."

What Should I Ask AI Before a Client Meeting?

Ask for what is still open, what changed since last time, and what you should raise.

Once the project holds the transcripts and the checklist, your prep becomes a handful of questions:

  • "Summarize what we discussed in our last few meetings."
  • "Based on the checklist, which items are answered and which are still outstanding?"
  • "What did this client say they were worried about, and have we addressed it?"
  • "Give me the most important things to raise in tomorrow's meeting."

This is the same principle I use everywhere. If I do something twice, AI can take it over. Meeting prep is something you do before every single meeting, which makes it one of the best places to start. If your team also runs internal meetings, the same capture habit applies to running a team meeting with AI.

Your First Steps

  1. Turn off model training in the AI tool you use for client work.
  2. Record your next client meeting and save the transcript.
  3. Create a project for that client and drop in the transcript, a short client profile, and your standard checklist.
  4. Before the next meeting, ask for the brief. Use the questions above and see what comes back.

The Close

The entrepreneur who dreaded meeting prep left the call seeing exactly how much time this could give back. The whole system is small. Record it, store it by client, give AI your checklist, and let it remember so you can forget. Then walk into every meeting fully present for the person in front of you.
