- A second brain for personal and business life works best as one brain with three layers: a shared core, a personal side, and a business side.
- The core holds who you are (identity, vision, values, goals, preferences) and gets built once, then read by everything.
- Keep the brain outside any single AI tool, so ChatGPT, Claude or any personal agent can read it and you can switch tools anytime.
- Have your AI agents log what they do into the brain by design, so your context grows every time they work.
If you are trying to set up a second brain for personal and business life, the big question is usually the same one: do you build two systems or one? Here is the answer I give my clients. Build one second brain with a shared core in the center, and let personal and business branch off it. Any AI you use then knows who you are everywhere, and only pulls the room it needs.
This came up on a recent coaching call. A client I coach was building their very first AI agent, a travel bot to book flights earlier because they always end up booking late. We could have set that up in two seconds. I wanted them to see the bigger picture, though, so I asked where all of those travel preferences were going to live. That question turned into a full conversation about how to build a second brain for personal and business that any AI can read.
What Is a Second Brain for Personal and Business Life?
It is one place where everything about you, your life and your work is written down, so any AI can read it and act on it.
I see Notion as my single source of truth, meaning if it is not written down, it does not exist. Two reasons. If it is not written down, I cannot do anything with it. And I never want to do the same thing twice.
One of my mentors, Dan Martell, says it is a non-negotiable that every single thing done across all of the portfolio companies is written down. Because if it is written down, AI can do it.
I learned this the hard way. I was creating new projects all day long in ChatGPT and Claude. After seven days I had 30 projects. I could not find them, there was no prioritization, and they were all 80% done. So I built a build tracker in Notion, then a playbook library, and my second brain grew from there. If you want the business side in detail, here is how to build a second brain with AI for business.
How Do I Set Up a Second Brain for Personal and Business in Notion?
One brain, three layers. A shared core, then a personal room and a business room.
My client asked exactly this: what is the difference between using the second brain for personal versus business? So I spoke the question into AI on the call and we built the answer live. Here is the structure.
- Core. Who you are. Your identity, your vision, your values, your goals, your preferences. This gets built once and shared by everything.
- Personal. Travel preferences, family events, meal planning, home projects.
- Business. Strategy, playbooks, clients, builds, everything you run at work.
The sorting rule takes about three seconds. Would AI need this to act for you everywhere? Core. Only at home? Personal. Only at work? Business.
The way we described it on the call: you are one person with one brain. The core is the part of you that shows up everywhere. Personal and business are just the rooms you walk into.
Personal context stays out of the way of your business work, because you call exactly what you need. "Read my travel preferences and help me book this flight" pulls one page. It is the same idea I use when I organize a second brain for multiple clients. Every room has a clear label.
Why Should Your Second Brain Live Outside ChatGPT or Claude?
Because whoever holds your data holds you. A brain you own works with every tool.
Here is the game behind the game, and it is what I told my client: "If everything lives inside these platforms, they got you."
I want you to be tool agnostic. It can be Muse or GrokBot or ChatGPT or Gemini or Claude. All of these platforms have connectors, which is just a way of saying this tool can talk to that tool. So the brain sits in the middle and every tool points at it.
Here is what that looks like in practice. You speak your preferences into your agent: "I fly this airline. I like exit rows. I want to book at least a month in advance when possible." Then you add one line: "Log this inside of Notion so that any AI can read this moving forward. Call it my personal travel preferences."
Now if you move to a different tool, or something brand new comes out, you just say "go and read my personal travel preferences." You never rebuild it. Your whole world becomes a sea of context that AI can read, and all you have to do is go from zero to one, then update it later.
How Do Personal AI Agents Use a Second Brain?
They read it to know what you want, then they write back to it so the next run knows more.
I use Meta's Muse for my personal life and GrokBot to run my business, because I like the separation between personal and business. Inside Muse I have a chat for concerts and events, one for meals and meal prep, one for home projects, and one for family. When my wife and I were planning a holiday trip, I just spoke into Muse: look at flight options from two airports, give us prices based on flexible dates, and send me a weekly update on ticket prices. It even flagged a 40% off fare sale for us.
That is where the 92-8 rule comes in. AI does 92% of the work and you do 8%, but you are the top and the bottom. You give the vision at the start, and you approve at the end. "Before you book it, confirm with me so I can see it all works." Done.
The part that makes this powerful is the logging. Design it so that if the travel bot books something, it logs that it booked it, the price, the seat and the preference. Now you have a history, and every booking makes the next one smarter. It just logs it for you, by design. If you are new to agents, start with my zero to one playbook for personal AI agents.
What Information Should You Keep Out of Your Second Brain?
Anything personally identifiable. Your social security number and account numbers stay out.
My client asked where my line is on security. I am more likely to push the envelope than most because I do not live in fear, and my process is tight. I can see everything that happens.
So the data lives in Notion, and the personally identifiable information stays out of it. Giving an agent a credit card to buy things for me with a confirm step is something I am comfortable with, because the downside is limited and you can always cancel the card. As I said on the call, "Most of the things we're afraid of never happened."
A useful way to find your own line: start from the most sensitive thing you could hand over, then ask what one step back from that looks like. Then one step back again.
How Do I Start a Second Brain If I Know Nothing About Notion?
Speak it into existence and let AI do the wiring. You barely have to touch Notion yourself.
Here is something that surprised my client. I spend zero time in Notion, and I know almost nothing about how it works. Notion is just a workflow for me. I see something, I send it. AI does the structure.
So the first move is to tell your AI what you want, in plain language. "I am new to this. I want a second brain for personal and business with a shared core. Make it simple and easy." Then add the key phrase: "Make sure it is written for agentic AI." Those words help guarantee the wiring can be read by AI, because AI is the one doing the wiring.
If you want to see where this goes over time, here is how I use Notion as an AI operating system for my whole business.
Your First Three Steps
- Write your core page. Speak your identity, vision, values, goals and preferences into AI and have it save them as one page.
- Pick one personal use case. A travel bot is a great start. Speak your preferences, log them as a page, and tell the agent to confirm before it books.
- Turn on logging. Every time an agent does something for you, have it write the receipt back into the right room.
The Close
Your travel bot is one small playbook out of the many you will build. That is the realization my client had at the end of our call: what started as booking flights turned into a map of their whole life, written so AI can run it. One brain, three layers, and every tool pointed at the same place. Start with the core, and let the rooms grow from there.
