How to Plan Your Day With AI (The Daily Power List That Protects Your Goals)

Rob Cressy
TL;DR
  • To plan your day with AI, start from your monthly goals, let AI turn them into weekly outcomes, then have it build a daily power list of three to five tasks.
  • Every task starts with a verb, gets a time size, and ties to a goal. At least one moves your biggest goal.
  • Use tiers so the task attached to money gets done before the easy stuff.
  • Close the loop every evening: tell AI what you finished, score the day, and carry what matters into tomorrow.

If you want to plan your day with AI, the hardest part is protecting your goals from the day itself. Weekly and monthly goals usually die in the daily noise. AI can fix that when it knows your goals, sees your calendar, and hands you a short list every morning of the few tasks that actually move those goals forward. Here is how I teach teams to set it up.

I learned how much this matters from my own mornings. I created an AI review time at 8:30 AM, the first thing I do every day when I log in to start doing business. My agents were doing more and more of the work, and they kept flagging items as Needs Rob Now. Those piled up. I was the roadblock on the things I said I wanted to do. So I gave myself a simple habit: start the day with a short block to decide, answer, approve. The day I started, my 30 minutes turned into about two hours, because I was just living in decisions. I have never been more productive in my entire life.

How Do You Plan Your Day With AI?

Give AI your goals and your calendar, then ask it every morning for the three to five tasks that move those goals.

Here is the order I walked a team I coach through on a recent call. Work backwards. Monthly goal first, then the outcome for this week, then today's three to five tasks.

It starts with what I call a North Star. What are the one to five things you want to have accomplished by the end of the month? I write mine down because I have eight million things in my head at any moment and I cannot remember my North Star otherwise. Once it is written down, AI can see it too.

From there you break it down. For each North Star item, what do I get to do this week? Based on this week, what do I get to do today? As the daily work gets done, it feeds back into the monthly goal, so you always know where you stand. If you want to go deeper on the goal side, here is how to use AI to achieve your goals.

What Is a Daily Power List?

Three to five actionable tasks, fully in your control, that push you toward a specific goal today.

The team lead on that call defined it perfectly: three to five actionable items that you are in control of each and every day to push you towards a specific goal.

It is the simplest thing you could possibly do. You start every single day and write down your five critical tasks. I keep mine on my desk. You can create almost anything in your life with three powers: the power of intention, the power of awareness, and the power of consistency. I intend to get these five things done. I am aware of them because they are sitting right in front of me. Then check, check, check.

I think about this through a documentary I watched recently on a legendary college football coach. The turning point in that coaching career was a new message for the team: win one play at a time, six seconds at a time. Win your six seconds. A power list is your six seconds for the day.

How Do I Turn Monthly Goals Into Daily Tasks With AI?

Ask AI to turn each monthly goal into one weekly outcome, then size today's tasks to your open time.

When I prepared for that team call, I asked my AI to help me build the outline, and it laid out a simple framework. Every task starts with a verb. Every task is sized at 15, 30 or 60 minutes. Every task is tied to a goal. At least one task should move the biggest goal. And anything that is not on the list is noise until the list gets done.

Here is where it gets powerful. I now have AI running my calendar. If it can see my calendar, it can see what I am doing, and it can put the work for my goals right into my open time. It is one connected system. If the goal exists and AI can see the calendar, it can say, "You have a block from one to two. Here is the work you said you wanted to do on your goals."

This is also where most of us slip, me included. I have plenty of big goals I do nothing for, because I get busy and they never make it onto the calendar. Writing them down and giving AI visibility is what changes that.

What Prompts Help You Plan Your Day With AI?

Four prompts cover the whole loop: weekly outcomes, today's list, a pressure test, and an end of day review.

Here are the prompts I shared with the team. Screenshot these.

  1. Weekly outcomes. "Here are my monthly goals. Turn each one into one clear outcome for this week."
  2. Today's power list. "Here's my calendar today and my weekly outcomes. Give me three to five tasks with a time size that I can finish in my open time today."
  3. Pressure test. "Which of these things that I'm doing doesn't move a goal? What did I miss?"
  4. End of day review. "Here's what I finished. Score the day, then carry over what matters to tomorrow."

Then make it automatic. Save the prompts as a project or a custom assistant with your goals loaded once. Give it a morning trigger so the list is waiting before your first meeting.

I also run a morning check-in and an evening checkout with my personal agent. Morning: here is what I am going to get done today. Evening: here is what I got done and what is still outstanding. If something slipped, I tell it: "There's an open loop. Make sure this is the number one priority for me in the morning." It carries it over and it is waiting for me. This fits right into a broader daily AI practice.

How Do I Prioritize My Tasks With AI?

Tier your tasks. The thing attached to money or a hard deadline is tier one, and it gets done first.

All tasks are not created equal. So I tier them. A deadline due in 24 hours with real money on the line is tier one: do nothing else until it is done. Checking updates to make sure everything is working is a lower tier task. It still needs doing, just later.

There is a story I learned from a well-known online entrepreneur that I call donut prioritization. They asked their assistant to do two things: go to the bank and cash a check for $200,000, and pick up donuts. The assistant got the donuts first, things took a little longer, and the check never got cashed in time.

I have never forgotten it. Now when I have something attached to money and a list of easier things, I ask myself: am I prioritizing the donuts or the $200,000 check? Donuts are everywhere in business and in life. They are urgent and easy and they feel productive. I call this emails versus rocket ships. Are you only working on emails, or are you working on a rocket ship, your big goal? You can even ask your AI directly: "What's the noise in my role? Where am I prioritizing the donuts?"

How Long Does It Take to Train AI to Plan Your Day?

Plan on about 30 days, the same as training a new hire. That front end buys you context you keep forever.

One person on the team said it best at the end of our call: you have to put in to get out. They realized their agent was doing things its own way because they had never told it the style they wanted.

Here is what I told the team. It might take 30 days to train the agent. It takes 30 days to train a human, too. A perfect new hire still needs time to learn how your business runs. The front end is 30 days, then it is just update, update, update, in real time.

The team is already seeing it. One person gets a summary of what came into their inbox in the morning and again at the end of the day, plus little alerts through the day when something looks important. Another set up agents that answer a simple question, "what is the status?", so they stopped checking every item by hand. And they still review the output, because the information has to be correct. If you are setting up your first agent for this, start with my zero to one playbook for personal AI agents.

Your First Three Steps

  1. Write your North Star. One to five things you want done by the end of this month.
  2. Run the four prompts tomorrow morning. Weekly outcomes, today's power list, the pressure test, and the end of day review tonight.
  3. Book a daily review block. Start your day with a short window to decide and approve what your AI needs from you.

The Close

Clarity drives consistency. Uncertainty leads to inaction, and a power list gives you the opposite: five clear moves tied to the goal that matters most. Set the North Star, let AI build the list, win your six seconds, and get the check to the bank before the donuts.
