Resources — Podcast Pitch Pro

Getting booked on other podcasts can be easy and done at a fraction of the cost of what other agencies would charge. This process is designed to be done using a Virtual Assistant or someone on your team doing outreach on your behalf. Feel free to copy what I use, change up the language, and implement this for yourself.

In that folder you will see 5 documents (Note: It’s recommended you make a copy of these files and put them in your Google Drive).

The process starts with creating your assets, which the frameworks of are already created for you.

Step 1 — 1st Email Outreach
  • Open the “1st Email Outreach Copy” and customize it with your name and brand (in both the title and body). By design this email is short, sweet, and personal.
  • You’ll want to make sure when you link your name it goes to your website or landing page of your choice.
  • With the second sentence you are going to want to share something personal/interesting about yourself that will grab their attention.
  • You are going to want to attached your one page speaker bio PDF to the email (I include an example of mine in the documents - Copy of Rob Cressy Speaking Bio - 1).
  • If you do not have a One Page Speaking Bio I’ll share the process for that at the bottom.
Step 2 — Podcast Follow Up
  • Open the “Copy of Podcast Follow Up”. You’ll see there are 3 short form emails in there.
  • You are going to want to write 3 short, value driven, interesting emails that you can send as a follow up.
  • The formula I used was: 1. Give them one of my free lead magnets (which has a ton of value in it) 2. Share a memorable story about myself that would grab their attention. 3. Share something of value that could help them.
Step 3 — Your Short Text Bio
  • In the podcast guest process you’ll be asked to “give a quick overview on who you are”. Maybe the guest will read this about you, or maybe they’ll have you say it. Either way, you want to have the pitch of who you are down tight.
  • Write down three sentences of who you are.
  • Also write down all of your social media links. You’ll want this for reference due to the number of times you’ll be asked to share them.
Step 4 — One Page Speaking Bio
  • If you do not have a one page speaking bio I recommend you create one. It is an asset you’ll have for the rest of your career as a speaker, podcaster, and thought leader.
  • The things you are going to want to write down: Your bio. This can be 3 to 5 sentences, but keep it tight. People don’t like to read tons of text.
  • Topics: What are the 4 things you love speaking about or can provide the most value on?
  • Questions someone can ask you (about your topics): write down 5 of them. This makes it easy on the podcast host because you are doing the work for them.
  • With all of this written down go to your graphic designer (or find one) and have them create a one page PDF that includes all of this (plus your social links and a picture of you). You are welcome to send them mine as reference.
Let The Podcast Booking Outreach Process Begin
  • Step 1: Give your VA a list of 1 - 3 podcast keywords you would like to target.
  • Step 2: Have them go out and find 50 podcasts that appear under those keywords. (Note: I recommend having them target smaller to mid tier podcasts at first as the success rate is significantly easier than if you are going after the top podcasts in the world).
  • Step 3: Have them capture the podcast contact information and put it in your “Get Booked On Podcasts Outreach Database”
  • Tip: I put a tab for most commonly asked questions. Many of the podcast hosts want you to submit a form to get to know you more before you get booked. Answer these for your VA and they’ll then do this for you.
  • Step 4: Now that you have created your assets & messaging, have your VA start the first touch email outreach process (copying your message, personalizing it to the podcast host, and then emailing it out).
  • Tip: I set my VA up with an email under my domain. I made sure their email signature was filled out, including titling them “Podcast Coordinator”. That way it’s all legit.
  • Step 5: Each step of the process have your VA track when they are sending out your message and to who. This will allow them to easily send the follow up messaging (I use a 3 day - 7 day - 7 day follow up period - that gives space in case someone is on vacation or out of office, but consistent enough to pop it back up in the inbox).
  • Step 6: When someone responds back to any message in the outreach the VA notes it in the database and then coordinates you getting booked on the podcast.
  • Step 7: Once the VA gets through 50 messages, repeat the process again (you can use the same keywords or add new ones).

By using this process I’ve been able to get booked on industry relevant podcasts easily, and at a fraction of the cost. Best of all I can focus on high value actions for my business while this process is running.
